You run the roster for your store(s) — building shifts, logging worked hours, exporting reports.
You can build and edit shifts, log worked hours, and export reports for the stores you are assigned to. You cannot create stores, add managers, or close a pay period — those are admin actions.

1. Logging in
- Go to https://roster.astromedia.cl.
- Click Sign in.
- Username is the email the admin used to create you (or your full name). First-time password is
password— change it right away from your profile. - If you log in correctly you will see Manager: your name in the top-right header.
2. Picking a store and date
- Use the Store dropdown at the top to pick the store you are scheduling for. You will only see stores you manage.
- Use Start Date to jump to the week or fortnight you want. The grid updates automatically.
- Toggle Week vs 14 Days on the top right of the grid depending on how far ahead you want to plan.
3. Adding an employee to your store
- Open the sidebar (top-left hamburger) and click Manage Members.
- Fill in Name, Phone, Email.
- Set Employment Type to Casual, Full-Time, or Cash. You cannot create another manager — only the admin can.
- Tick the stores you manage. You can only assign to your own stores.
- Click Add Member. The default password is
password.
If the employee already exists but is not in your store, ask the admin to assign them. You cannot edit other managers' members.
4. Building the weekly roster
- Open the Shift Editor on the left side of the page.
- Pick an Employee from the dropdown. Only employees assigned to the current store appear.
- Click cells on the grid to paint the days they work.
- For each painted cell, set start and end times. The Shift Editor's Total Hours updates live.
- Repeat for each employee.
If the total weekly hours exceed the store's max hours the editor warns you in orange/red. Decide if you want to keep going or trim a shift before saving.
Editing or deleting a shift
Click an existing shift cell to edit it. The Shift Editor will load that shift's times; change them and save. To delete, clear the cell.
5. Repeating a pattern across weeks
- Build one week the way you want it.
- In the Repeat for dropdown, pick how many more weeks should get the same pattern (up to 4).
- Save. The pattern is copied forward. Existing shifts in the target weeks are overwritten for the employees you touched.
6. Recording worked hours
Worked hours are what people actually worked, recorded after the fact. Do this every shift day or batch it once a week — but do it before the admin closes the period, or you will be locked out.
- Sidebar → Worked Hours.
- Pick the store and the date.
- For each employee, fill in:
- Ordinary hours — regular weekday hours
- Saturday hours — separate column, paid at a different rate
- Sunday hours
- PH — public holiday hours
- AL — annual leave
- SL — sick leave
- Add an optional note if something was unusual (e.g. "left early — flu").
- Click Save.
Once the admin closes a fortnight, you cannot edit those days any more. If you find a mistake afterwards, tell the admin — only they can correct closed periods.
7. Running the weekly report
- Sidebar → Reports.
- Pick a store (yours), a start date, and an end date (usually one Mon–Sun week).
- Click Download Weekly Report. You get an Excel file per-employee with totals by hour type.
8. Exporting the roster
- Open the sidebar.
- Under Share, click:
- Export Roster (Excel) — printable schedule of the week or fortnight you are viewing.
- Download PDF — same view but as a PDF you can pin on the wall.
The Sync Calendar (iCal) button is for individuals to subscribe to their own schedule — see the Employee manual.
9. Troubleshooting
I don't see the store I manage in the dropdown
You are not assigned to it. Ask the admin to tick the store in your member profile.
I cannot save shifts — the button stays disabled
Probably no employee is selected in the Shift Editor, or you painted cells without entering start/end times. Click an empty cell to confirm the editor accepts input.
Worked Hours form rejects my entry
Two common reasons:
- The date is inside a closed pay period — you cannot edit it. Ask the admin.
- You typed a negative number or a non-numeric value somewhere.
"Forbidden" message
Either your session expired (log out and in), or you are trying to touch a store you are not assigned to. Confirm the store dropdown is on a store you manage.
I do not have the "Export Roster (Excel)" button
That button is hidden for employees only. If you don't see it as a manager, your role may have been changed — ask the admin.
